Accounting Setup & Maintenance: Resolving 'Upgrade Data Files' warning message

Information on resolving recurring “Upgrade Data Files” prompts in Access UBS when logging in, opening a company, or accessing the database from client PCs.

When the “Upgrade Data File” warning message appears, it usually indicates a version mismatch, corrupted data tables, or a network interruption during the upgrade.
Follow the three steps below to resolve the issue and complete the data file upgrade successfully.

Step 1: Perform Basic Upgrade

  1. When the “Upgrade Data File” message appears, click OK to start the upgrade.

  2. After the upgrade completes, click OK again to restart the application and log in to the system.

If the message continues to appear or shows an error, proceed to Step 2.

Step 2: Check Prerequisites

  • Ensure both client and server PCs are using the same version of Access UBS.

    • If not, perform an Auto Online Update or Manual Update to match the versions.

  • If data tables on the client PC are corrupted, try upgrading from the server PC instead for both Accounting & Billing and Inventory & Billing modules.

  • If there are network interruptions during the upgrade, it is recommended to perform the upgrade directly from the server.

Step 3: Perform Upgrade from the Server PC

  1. Perform a backup of your data.

  2. Open the Accounting module.

  3. Go to Housekeeping, Upgrade Data Files.

  4. Click OK to start the upgrade process.

Note: Running the upgrade from the server PC helps ensure data consistency across all modules and prevents corruption or version mismatch errors during the upgrade process.
