Accounting Setup & Maintenance: Mobile license setup guide

Information on using Access UBS from a home PC, including setup steps, mobile license usage, and troubleshooting issues with checking out or activating the mobile license.

To support flexible work arrangements, UBS software allows you to check out a mobile license and work from home seamlessly. This guide walks you through the five key steps to manage your mobile license and data effectively:

  1. Check Out Mobile License (At the Main PC)

  2. Install Mobile License (At the Mobile PC)

  3. Uninstall Mobile License (At the Mobile PC)

  4. Check In Mobile License (At the Main PC)

  5. Manage Your Data

Check Out Mobile License (At the Main PC)

  1. Open UBS Software on your main office PC.

  2. Go to Manage License.

  3. Select your Company.

  4. Choose either Accounting or Inventory & Billing.

  5. Click on License Wizard.

  6. Select "I would like to manage mobile license", then click Next.

  7. Fill in the required details:

    • Reason: Enter the purpose (e.g., "Work from home").

    • Generate Mobile License Key File. To: Choose a location to save the license file (e.g., USB drive).

  8. Click Next to generate the mobile license file.

  9. Once the license is successfully generated, copy the file to a USB drive.

    • Note: The mobile license is valid for a maximum of 1 month.

Install Mobile License (At the Mobile PC/Home Laptop)

  1. Install UBS Software on your home PC/laptop (if not already installed).

  2. Open the UBS application.

  3. Go to Admin > Administrator Settings > System Settings:

    • Set IP Address to 127.0.0.1

    • Set Port Number to 8900

  4. Log out from the system.

  5. At the Login screen, click the Mobile License tab.

  6. Click Install.

  7. Click Browse, select the mobile license file from your USB drive, then click OK.

  8. A confirmation message will appear once the license is successfully installed. Click OK.

Uninstall Mobile License (At the Mobile PC)

  1. At the Login screen, click the Mobile License tab.

  2. Click Uninstall.

  3. Select the mobile license to be removed and click OK.

  4. A confirmation message will appear. Click OK.

Check In Mobile License (At the Main PC)

  1. On your main office PC, open UBS and go to Manage License.

  2. Select your Company and choose either Accounting or Inventory & Billing.

  3. Click on License Wizard.

  4. Select "I would like to manage mobile license", then click Next.

  5. Choose the mobile license to be checked in and click OK.

  6. A confirmation message will appear. Click OK.

Managing Data While Working from Home

  1. Create a New Company in UBS and name it something like "WFH May 2021".

  2. Restore your backup data from the office (from a USB or cloud storage).

  3. After completing your work at home:

    • Backup your updated data.

    • Bring it back to the office.

    • Restore the data on your office PC to update the system.
