UBS EVO: User management in EVO claim

Learn how to add users to EVO claim, and how to update user details includingration ID and join date.

This article explains how to manage users in EVO Claim, including adding new employees and updating their details. Watch the video walkthrough below for an overview, then follow the step-by-step instructions.


Add a user from Access EVO

Users must first be added through the Members tab in Access EVO before they can be managed in EVO Claim.

  1. Log in to Access Evo.

  2. Go to the Members tab.

  3. Add the employee as a member.

  4. Once the employee has been added successfully, the employee will become available in EVO Claim.

  5. Open EVO Claim.

  6. Go to Users to view the employee.

⚠️Important: Adding the employee in Access EVO is the first step before setting up the user in EVO Claim.


Update user details

There are two ways to update user details in EVO claim.

Option 1: Import integration ID and join date

This option is useful when you need to update multiple employees in bulk.

  1. In EVO Claim, go to Users.

  2. Click Import Integration ID & Join Date.

  3. Download the pre-filled Excel template.

  4. Open the downloaded Excel file.

  5. Update the Integration ID column.

  6. Update the Join Date column if required.

  7. Save the Excel file.

  8. Return to EVO Claim.

  9. Upload the completed Excel file.

  10. The updated Integration ID and Join Date will be applied to the selected employees.

⚠️Important: You can update either the Integration ID, Join Date, or both. If a value does not need to be changed, leave it unchanged.

Option 2: Edit user details directly

This option is useful when you only need to update one employee.

  1. Go to EVO Claim, then go to Users.

  2. Search for the employee using their name, email, or ID.

  3. Locate the employee in the list.

  4. Find the Integration ID field.

  5. Click Click to add or the existing Integration ID.

  6. Enter the employee's Integration ID.

  7. Click the tick button to save the change.

  8. The Integration ID will now be updated for the employee.

📌Note: The Integration ID is an important field in EVO Claim. Normally, the Integration ID is the employee's Employee ID.


Why the Integration ID matters

The employee needs a valid integration ID in order to submit claims in EVO Claim. After adding a new employee, make sure the Integration ID has been correctly maintained before the employee starts submitting claims.
