Payroll Processing: Out of Bound (OOB) calculation for new join staff

Information on setting up new employees in Access UBS, including calculating working days, entering joining dates, and configuring OOB settings.

To calculate and process the basic pay for a new employee who joins mid-month, follow the steps below:

Example Scenario:
New employee started 15 May 20xx, salary RM1200/month. What is his basic pay for May 200x?

Manual calculation (by referring to the calendar)
Basic Rate: 1200
Working Days: 15
Day Worked: 15
Out of Bound (OOB): 14 (1~14 May)

Formula:
Basic Pay = Basic Rate - [OOB/No of Days in the month x Basic Rate]
= 1200 - [14/31 x 1200]
= 658.06

  1. Go to Personnel.

  2. Select Add/Update Employees.

  3. Maintain employee's details and Date Commence as 15/05/20xx.

  4. Click Save and then Exit.

  5. Go to Payments.

  6. Select 2nd Half Payroll, then Normal Pay.

  7. Click on Cal.

  8. The Calculate Working Days module will be prompted.

  9. Set Rest Day to Sunday.

  10. Click OK.

  11. The field for Working Days is calculated automatically and shown as 15.

  12. Under the Pay Days section.

  13. Key in the total in the DW field.

  14. Key in 14 in the OOB field.

  15. Click Save and then Exit.

  16. Go to Payments.

  17. Select 2nd Half Payroll, then Process Pay.

  18. Go to Payments.

  19. Select 2nd Half Payroll, then View Pay Slip.
