Payroll Processing: Amend the Annual Leave balance if it's incorrect

Annual Leave is not correct in the normal pay

If an employee’s Annual Leave balance appears incorrect on the payslip, it may be caused by the current month’s leave entitlement not being updated. Using the steps below, you can regenerate and update the employee’s Annual Leave entitlement in either Classic View or Modern View of Access UBS.

Example Scenario:
Staff AZLINA BINTI MOHD. SHA has worked 1 year in the company. The following are her Annual Leave information.

  • Annual Leave entitle = 10 days

  • Annual Leave brought forward = 2.5 days

  • Annual Leave Adjustment = + 0.5 day

  • Total of Annual Leave = 13 days

During December, she has taken 7.5 days of Annual Leave. In the manual calculation, she has a balance of 5.5 days of Annual Leave. Unfortunately, in the payslip, it shows -4.5 days for the Annual Leave balance.

This was due to the staff's Current months' entitlement not being updated.

Classic View

  1. Go to Personnel.

  2. Select Update Leave / Fun Entitled.

  3. Click OK.

  4. Click on Generate button.

  5. Select the Annual Leave Claimable radio button.

  6. Click on the Generate button.

  7. After the system is completely generated, click on the Exit button.

  8. Column AL Cla. will be updated with the current month's Annual Leave entitl.

Modern View

  1. Go to Employee.

  2. Select More action, Update, Leave / Fun Entitle, Update Leave / Fun Entitled.

  3. Click on Generate button.

  4. Select the Annual Leave Claimable radio button.

  5. Click on Generate button.

  6. After the system is completely generated, click on Exit button.

  7. Column AL Cla. will be updated with the current month Annual Leave entitle.
