Payroll Processing: Set monthly over time calculation with prorated custom rates

Set OT calculation Monthly and prorated with our rate

Updated over 2 months ago

Below explains how to configure the system to calculate overtime (OT) based on a monthly rate that is prorated annually using your own custom values. To enable OT hours calculation by month:

  1. Go to parameter setup, control.

  2. Tick the checkbox 'Get hours per year from monthly OT hours table'.

  3. Go to housekeeping, setup, table maintenance, and the monthly OT table.

  4. Enter the number of OT hours for each month (e.g., 25 hours per month).

Calculation example:

Assume the following:

  • Max OT = 2,250.00

  • Hours Worked per Year = 25 hours/month × 12 months = 300 hours

OT Rate Calculations:

  • 1.0x OT:
    (2,250×12) ÷ 300(2,250 × 12) ÷ 300(2,250×12) ÷ 300 = 90

  • 1.5x OT:
    90 × 1.5 = 135.00

  • 2.0x OT:
    90 × 2.0 = 180.00

To apply the new rate immediately:

If you need the new rate to be applied within the current month:

  1. Go to the Working Hours Table.

  2. Manually update the "Hours Per Year" value (e.g., replace 2340 with 300).

  3. Recalculate Normal Pay to apply the updated OT rate.

Notes:

  • Changes made within the current month will not immediately reflect in the OT calculation.

  • You must perform a month-end process for the updated values to take effect in the Hours Per Year (OT) rate.
